INFORMATION ON THE PROCESSING OF PERSONAL DATA AND INSTRUCTIONS ON THE RIGHTS RELATED TO THE PROTECTION OF PERSONAL DATA

 

1 INTRODUCTORY INFORMATION

Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons in connection with the processing of personal data and on the free movement of such data and on the repeal of Directive 95/46/EC or GDPR (General Data Protection Regulation) is a comprehensive set of EU data protection rules. It takes effect on May 25, 2018. In the Czech Republic, it replaces the current legislation on the protection of personal data in the form of Act No. 101/2000 Coll., on the protection of personal data.

3 RULES AND SCOPE OF PERSONAL DATA PROCESSING IN THE COMPANY

We process your personal data to the extent necessary for employment in our company

or to provide the given service that you use from us. Each processing is always carried out in accordance with the GDPR and applicable legislation and only for a predetermined purpose and on the basis of a relevant legal basis. The most common processing purposes are, in particular, but not exclusively:

  • employment in the company – personnel and salary agenda
  • records of entrances to the area
  • handling user requests

In doing so, the company pays attention to the fulfilment of basic principles, which are legality, correctness, transparency, purpose limitation, data minimization, accuracy, limited storage, integrity and confidentiality, and administrator responsibility. The rules for processing personal data are defined in the company's internal guidelines.

We process personal data that fall into the following categories:

  • identification data;
  • address data;
  • descriptive data;
  • data on the use of services.

HF does not process personal data of special categories, such as data on ethnic origin, political party affiliation, church affiliation, etc.

We only keep your personal data for as long as necessary and archive them according to the legal deadlines imposed by law. We carry out the processing for the duration of the contractual relationship or other legal basis. After the loss of a legal reason, we dispose of or anonymize personal data.

We have set strict internal rules that check the legality of holding personal data,

and we do not keep the data longer than is necessary for the purpose of processing.

HF also processes your personal data to ensure the protection of HF's legitimate interests, while such processing does not require the consent of the data subjects. We always carefully assess the existence of a legitimate interest.

4 RECIPIENTS AND PROCESSORS

We process and store the personal data you have provided us mainly within HF. When processing some data, we also cooperate with external processors. We carefully select the entities that cooperate with us on the basis of guarantees by which they will ensure the technical and organizational protection of the personal data transferred by us. Processing of personal data may be carried out by processors for HF exclusively on the basis of a personal data processing contract. Your data is transferred to, for example, the following processors:

  • security agency ensuring the protection of HF facilities;
  • a company providing mass shredding of documents.

We do not transfer data to third countries.

5 LESSONS ON THE RIGHTS OF DATA SUBJECTS

If the processing of personal data is based on your consent to the processing of personal data, you have the right to withdraw this consent at any time.

You have the right to access your personal data – you have the right to request information on whether and to what extent your personal data is processed at HF. The company will provide you with copies or a statement of the processing of personal data.

You have the right to have the HF correct inaccurate personal data concerning you without undue delay. Taking into account the purposes of processing, you have the right to supplement incomplete personal data, including by providing an additional statement.

You have the right to delete the data you have provided to HF based on consent to the processing of personal data.

You have the right for HF to limit the processing of personal data in cases stipulated by the General Regulation on the Protection of Personal Data. You have the right to object to the processing of personal data concerning you if HF processes personal data for the following reasons:

  • processing is necessary for the fulfilment of a task carried out in the public interest or in the exercise of public authority with which HF is entrusted,
  • processing is necessary for the purposes of the legitimate interests of HF or a third party,
  • for direct marketing purposes,
  • for the purposes of scientific or historical research or for statistical purposes.

The rights described above are handled upon your written request and against verification of the identification data provided, so that no other person's data can be made available. The aforementioned application can be submitted in person at the personnel departments of Hermes Fulfilment CZ s.r.o.

NOTICE ON THE USE OF GOOGLE ANALYTICS & COOKIES

Our website uses Google Analytics. This is a service used to analyse the websites of Google Inc., 1600 Amphitheater Parkway, Mountain View, CA 94043, USA. Google Analytics uses so-called cookies. Cookies are files. By storing cookies on your computer, Google can analyse the use of our website. This information and your IP address are transmitted to a Google server in the USA and stored there.

Google evaluates information about your use of our website. In this way, reports on your activities on our website are prepared, which are then made available to us. This may also serve to offer or provide other services associated with the use of our website or the use of the Internet. Google may transfer this information to third parties if required by law or if third parties are authorized by Google to carry out this data processing. However, under no circumstances will Google associate your IP address with other data from Google.

You have the option to prevent the mentioned cookies from being stored on your computer. To do this, you need to make the appropriate settings in your internet browser. However, there is a possibility that you will only be able to use our website to a limited extent. You can prevent the collection, sending and processing of your data and your IP address by Google. To do this, you can download and install a plugin for your internet browser.

You can object to the use of your data for advertising or market research or opinion polling purposes. Please inform us of this fact in writing. After receiving your objection, we will include your address in the file excluding advertising. This way we can prevent you from sending unsolicited information even if we use addresses from publicly accessible sources.

When using the web presentation, data is automatically stored that cannot be excluded from an indirect connection with you. This data is also generated when accessing any other website of other providers. This includes, for example, information about the web browser used, the pages visited and the duration of the visit. If it would be possible to create indirect access to a person, we will delete the information. In other cases, the data is used anonymously in order to further improve the website according to our users, or ensured their safety and stability. We do not otherwise request any data from you to visit our website. You can therefore move absolutely anonymously within the meaning of the applicable legislation.

We only use temporary cookies, no other comparable functions. This means that after you leave the website, the cookies on your hard drive will be deleted. Cookies are files that store information on your hard drive. These files facilitate your navigation on the website

HF makes great efforts to secure your personal data against loss, falsification or viewing by unauthorized persons. If you send us your personal data electronically by entering them on our website, your data is transferred to our computer via a secure connection (SSL), which corresponds to the state of the art, in an encrypted form via the Internet, stored and secured. Please note that the sending of data via email, on the other hand, takes place in principle

in unencrypted form.

However, we would like to point out that data protection for data transmission within the Internet cannot be comprehensively ensured according to the current state of the art. Other Internet users may be technically capable of unauthorized access to network security and controlling the movement of information.
